Orangeville Fall Fair Rules and Regulations
The following rules and regulations apply to all Classes and other competitive Events. Additional rules applicable to specific Classes or Sections are noted in the Rules for each Class or Event.
VIOLATION OF RULES
Any Exhibitor who violates any of the following
rules or any Class rules in the Prize Book shall be liable, upon the decision
of the Board of Directors, to the forfeiture of any and all prizes, prize
money and awards which may have been awarded to the exhibitor as well as
any entry fees that may have been paid, whether for any entry shown before
or after such violation and such exhibitor may be barred from showing at
the Orangeville Fair for such period as the Board may determine.
EXHIBITOR’S FEES
Each exhibitor must pay an Exhibitor’s Fee of
$5.00 except where noted otherwise. The exhibitor’s fee entitles each exhibitor
to make as many entries as he or she may desire, subject to limits stipulated
for a Class or Section.Members of the Society who have paid their annual
membership fee by January 31 of the current year are entitled to exhibit
at the Fair without payment of the exhibitor fee. No member of the Society
is permitted to wear or display any official badge while exhibiting any
animal or article.
MAKING ENTRIES (FOR ALL CLASSES)
All entries must be made on the official entry forms of the Society and completed in accordance with the
instructions, providing all information and attachments requested. Forms
are available from the Society office or may be downloaded from the Society’s
website. Entries will be accepted only for Classes and Sections appearing
in the Prize Book. Exhibitor numbers and entry tags will be issued when
registering. No prizes will be paid unless official registration has been
completed.
Any entries will be considered incomplete where the proper fees
are not included or the necessary documentation is not provided. The Society
will make one attempt to contact the exhibitor to resolve the oversight.
Every animal, article or product entered for competition must
be the bonafide property of the person or persons entering them. All articles
(except antiques) and products must have been grown, produced, manufactured
or made by the exhibitor within the time period stated in the Class rules
governing each Class.
Exhibitors shall, if required by the Directors, make a statutory declaration that articles exhibited by them are exhibited in accordance with
the Rules and Regulations of the Society, and in any case when an exhibitor refuses to make such a declaration upon request, shall forfeit all premiums
awarded.
Entry in all Home Craft Classes 22 through 44 is limited to Amateurs only - by definition “one who engages in a craft or hobby and not as a
profession or livelihood”. The Society reserves the right to refuse or disqualify an entry from anyone who, in the opinion of the Board, is not an
amateur in relation to the Class or Section entered.
Exhibitors are limited to one exhibit per section in Home Craft Classes 22 through 44 except where noted otherwise. Exhibitors in Livestock
Classes 1 through 18 are limited to the number of entries stated in the rules for each Class.
Articles which have been soiled or misused may not be accepted for entry and if accepted may not be judged. See “Judging” below.
PRE-REGISTRATION
The closing date and time for submission of pre-registration forms is Saturday, August 29, 2009, 2:00 p.m. This date will be strictly
enforced and entries must be received by this date and time to qualify exhibitors for their (1) free admission pass.
Pre-registration begins June 1, 2009. Extended office hours are set aside for pre-registration as follows:
Wednesday, August 26: 10:00 a.m. - 5:00 p.m.
Thursday, August 27: 10:00 a.m. - 7:00 p.m.
Saturday, August 29: 10:00 a.m. - 2:00 p.m.
Pre-registration in Agricultural Products and Home Craft Classes 22 through 44 can be submitted in person or by mail by the closing date.
You must include the $5.00 exhibitor’s fee, where required, along with your completed registration form. When making payment by cheque make payable
to “The Orangeville Agricultural Society”. Exhibitors will receive a copy of their entry form together with an exhibitor number, entry tags and
one (1) single entry pass to the Fair. For Class 44 no passes are given.
ARRIVAL & DEPARTURE OF EXHIBITS
Home Craft
The Fairgrounds will be open to receive exhibits intended for the Halls on Thursday, September 3, 2009 from 3:00 p.m. until 8:00 p.m. and on
Friday September 4, 2009 from 8:00 a.m. until 10:30 a.m.. No Hall entries will be accepted after 10:30 a.m. on Friday.
No article shall be removed from the Hall exhibits until 4:30 p.m. on the last day of the Fair. The exception will be Class 30,
Culinary Arts. Please see the guidelines in Class 30. Exhibitors must collect and remove their exhibits from the Halls by 5:30 p.m. on Monday.
The Society is not responsible for articles remaining after 5:30 p.m., however Committees will attempt to collect remaining items and place them
in storage temporarily. Exhibitors must report missing items or concerns to the Fair office.
JUDGING-ALL CLASSES
The decision of the Judge(s) shall be final as to the placement of entries.
No prize shall be withheld merely because there is no competition, except where otherwise specified. No animal or article deemed unworthy shall be
awarded a prize. Judges are instructed to award placings according to the merit of the animal or article.
Any person who shall attempt to interfere with or influence the Judges while in the discharge of their duties, or shall at any time on the premises
of the Society use any contemptuous or abusive language of any Judge in the consequence of any award made by the Judge, shall forfeit their right to
any premiums to which they might otherwise be entitled, and shall be excluded from exhibiting for one year thereafter. Judges are particularly requested
to immediately report any breach of this rule.
The Judges are requested to make any suggestions or recommendations they may deem necessary, for consideration by the Directors, with a view of
improving the Prize List for future Fairs.
Judges of each class must sign their books and hand their report to the Class chairperson or representative for delivery to the Society office as
soon as possible after completing their duties.
The Exhibit Hall will be closed to the public from 10:30 a.m. until 6:00 p.m. on Friday, September 3, 2009 for Judging of the Agricultural and Home
Craft exhibits. No exhibitor will be allowed in the Hall during Judging, except the Judge(s) and committee members assisting, except where noted
otherwise in the Class rules.
PROTESTS
Any person lodging a protest must make it in writing. It must be delivered to the Secretary during the Fair, if possible. It must plainly state the
cause of the complaint or appeal, and be accompanied by deposit of twenty-five ($25.00) dollars cash. This sum will be forfeited to the Society if the
protest is not sustained. The onus of proof shall rest with the protesting party. The Board of Directors, however, earnestly hopes that persons will
not enter a protest without the strongest grounds for so doing, as much annoyance and unpleasantness is often occasioned by protests of a frivolous
nature. The Board of Directors reserves the right of final decision on disputed cases and will deal with the protest immediately following the Fall
Fair.
PRIZES AND AWARDS
The 1st prize ribbon shall be Red; the 2nd prize ribbon shall be Blue, and the 3rd White.
Small cash prizes and other awards, in the Agricultural Products and Home Craft Classes, may be claimed by exhibitors in the Exhibition Hall
when they pick up their entries at the close of the Fair on Monday September 7, 2009.
In the case of bad or unfavorable weather, or other reasons, causing the receipts to fall short of paying expenses and all prizes in full; after
paying can be adopted, as any deductions will fall proportionately on all those participating in the amounts collected, and not leave the whole sum to
be a debt to bear heavily on the Society and thus impair its usefulness.
THE SOCIETY’S LIABILITY & CONTROL
While the O.A.S. Directors take every precaution under the circumstances to secure the safety of all persons, animals or articles sent to the
exhibition, the owners themselves must take the risk of exhibiting, and should any person, animal or article be accidentally injured, lost or stolen,
the Directors will give every assistance in their power toward recovery, but they will not make any payment for the value thereof.
The Board of Directors reserves the right to debar any entry from exhibiting, and upon such action, or in the event of any entry being
disqualified from winning a prize by the decision of the committee; the exhibitor shall accept such decision as final without recourse.
